Our client, a national defense litigation law firm, is seeking an experienced Cash Application Supervisor to oversee cash application and accounts receivable processes within its growing Accounting Department.

This position is ideal for a detail-oriented legal accounting professional with extensive experience in cash application, legal billing, account reconciliation, and process improvement. The Cash Application Supervisor will serve as a subject matter expert responsible for ensuring the accuracy, efficiency, and consistency of payment processing, resolving complex account discrepancies, and maintaining reliable accounts receivable records.

This role focuses on process ownership, quality control, reconciliations, and operational efficiency rather than direct people management. The successful candidate will work closely with attorneys, clients, billing teams, and accounting leadership to strengthen financial processes and support the firm’s cash management objectives.

  • Monitor accounts receivable activity and maintain accurate client balances.

  • Perform and review account reconciliations to identify discrepancies and ensure resolution.

  • Establish consistent procedures for documenting payment activity and maintaining financial records.

Legal Billing & Client Account Support

  • Support collection activities by providing accurate payment histories and accounts receivable information.

  • Ensure payment application procedures align with firm policies and legal billing requirements.

Process Oversight & Continuous Improvement

  • Evaluate existing cash application workflows and identify opportunities to improve efficiency, accuracy, and turnaround times.

  • Develop, document, and maintain standard operating procedures for cash application and accounts receivable activities.

  • Implement process controls to reduce errors, minimize unapplied cash, and improve reconciliation accuracy.

  • Monitor processing trends and identify recurring issues requiring corrective action.

  • Serve as a subject matter expert for complex transactions, system issues, and process-related questions.

  • Support system enhancements, automation initiatives, and accounting process improvement projects.

Reporting & Financial Administration

  • Prepare and review cash application reports, accounts receivable aging reports, and reconciliation schedules.

  • Support month-end and year-end close activities related to cash application and accounts receivable.

  • Analyze payment activity and outstanding balances to identify discrepancies and opportunities to improve cash flow.

  • Maintain accurate, complete, and audit-ready financial documentation.

  • Partner with accounting leadership to communicate process findings, reporting trends, and recommended improvements.

  • Assist with additional accounting and finance projects as assigned.

QUALIFICATIONS

  • 5+ years of experience in cash application, accounts receivable, legal billing, or related accounting functions.

  • Previous experience working in a law firm environment required.

  • Strong understanding of legal billing, payment application, client accounts, and reconciliation processes.

  • Demonstrated experience overseeing accounting processes, researching complex discrepancies, and improving workflows.

  • Advanced proficiency in Microsoft Excel and the Microsoft Office Suite and Aderant software.

  • Experience with legal accounting or billing software preferred.

  • Strong analytical, problem-solving, organizational, and communication skills.

  • Ability to manage multiple priorities while maintaining a high degree of accuracy.
