Our client in the legal sector, a premier international labor and employment law firm, is seeking an experienced Legal Secretary to join its Washington, D.C. office. This is a hybrid position supporting attorneys in a sophisticated legal environment. The Legal Secretary will provide essential administrative and legal support while helping ensure attorneys can deliver exceptional client service.
The ideal candidate will have strong knowledge of legal terminology, litigation processes, legal document preparation, court filings, attorney calendaring, and legal technology systems.
Key Responsibilities
- Format briefs, pleadings, correspondence, and other legal documents with a high level of accuracy.
- File legal documents with state and federal courts, including electronic filings.
- Proofread and review documents to ensure accuracy, completeness, and proper formatting prior to distribution or filing.
- Maintain and update client files and related case information.
- Manage attorney calendars using Microsoft Outlook and Aderant Milana, including scheduling appointments and tracking important deadlines and due dates.
- Coordinate travel arrangements and itineraries for assigned attorneys.
- Accurately enter, review, and revise attorney time entries and timekeeper timesheets, including identifying litigation codes when applicable.
- Prepare attorney reimbursements and mileage reports.
- Provide professional and friendly telephone support for assigned attorneys and assist with receptionist coverage as needed.
- Review vendor invoices for accuracy and prepare check requests and payment submissions.
- Assist with the timely review and submission of pre-bills and client bills.
- Support attorneys with general administrative and litigation-related tasks as needed.
- Maintain confidentiality of sensitive client and firm information.
Knowledge, Skills & Abilities
- Strong knowledge of legal terminology, legal documents, and litigation processes.
- Ability to prepare and format sophisticated legal documents.
- Knowledge of state and federal court filing procedures and electronic filing systems.
- Experience marking and generating tables of contents and tables of authorities.
- Exceptional attention to detail and proofreading skills.
- Strong organizational and time management abilities with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- Professional and client-service-oriented approach.
- Ability to work independently while also collaborating effectively with attorneys and support staff.
- Strong proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Experience with document management, time entry, e-filing, and database software.

Requirements
- Minimum of a high school diploma required; college degree preferred but not required.
- Minimum of 2 years of professional Legal Secretary experience required.
- Previous experience supporting attorneys in a litigation environment strongly preferred.
- Demonstrated knowledge of legal terminology, legal documents, and legal processes.
- Experience with LexisNexis, PACER, ECF, Aderant Milana, and Concur preferred.
